IRIS Accounts Production - Getting Started

This guide demonstrates how to automatically export a trial balance from Accounts Production and import this into MyWorkpapers.

From version 11.4, client data in Accounts Production can be used to create clients within MyWorkpapers, trial balance figures can be automatically exported and populated into the Audit file in MyWorkpapers and journals can then be imported back into Accounts Production.

 Note: Please note in IRIS accounts production MyWorkpapers will be referenced as IRIS   OpenAudit.

Step 1 - Entering the Practice Details

  1. From the Accounts Production tool bar select, Setup | Practice Options

    The Practice Options screen displays:
  2. Click IRIS OpenAudit (Please make sure you are logged in as the master user in IRIS Accounts Production to access this area)

    The OpenAudit Login Details screen appears as follows:
  3. Complete the Practice URL field (The Practice URL will be your firm user name or top piece of information you use to log into the MyWorkpapers application)
  4. Enter the User Key and Private Key. To find these keys please follow step no.4 - 6
  5. Within MyWorkpapers select the Profile icon

  6. Select Edit Profile

    The screen displays as follows:


  7. Select the Enable Integration button

    The User Key and Private Key will be located on this page



    Note: The User Key and Practice Key can be copied and pasted when they are being entered into Accounts Production
  8. Click OK

 

Step 2 - Entering the Client Details

  1. From the Accounts Production tool bar select, Client | View

    The Business Client Maintenance screen appears as follows:
  2. Select the magnifying glass beside IRIS OpenAudit Client field

    The IRIS OpenAudit Client displays:
  3. Select one of the following options:
    1. Link existing IRIS OpenAudit client if the client has already been set up within MyWorkpapers
    2. Create a new client in IRIS OpenAudit and link to this client if the client has NOT yet been set up within MyWorkpapers
    3. No link to IRIS OpenAudit client if no link is to be created between Accounts Production and MyWorkpapers

      Note: The following error message will appear if MyWorkpapers login details have not been entered or are not valid in the Practice Options screen. Please refer to Step 2 - Entering the Practice details

  4. If,
    1. Link existing IRIS OpenAudit client option has been selected, highlight the relevant MyWorkpapers client from the list
    2. Create a new client in IRIS OpenAudit and link to this client follow no.5
  5. Click OK

    Note:
    If the Create a new client in IRIS OpenAudit and link to this client option has been selected the following IRIS OpenAudit Client screen will display:



    Click OK

    The Business Client Maintenance screen displays as follows:
  6. Click Save
  7. Click Close

 

Step 3 - Exporting the Trial Balance into MyWorkpapers

  1. Once the trial balance is ready to be exported, from the Accounts Production Quick Launch toolbar select the below icon:



    Alternatively, within the Posting screen, select Advanced | Export TB to IRIS OpenAudit


    Note:
    If users have insufficient privileges the following IRIS OpenAudit Export error will display:


    Note: If the client has not yet been set up within MyWorkpapers the following IRIS OpenAudit screen displays:


    Select one of the following options:

    a. Continue to link or create the client within MyWorkpapers and follow no. 3
    b. Quit to exit the screen

    The IRIS OpenAudit Client screen displays as follows:


    Select one of the following options:

    a. Link existing IRIS OpenAudit client
    b. Create a new client in IRIS OpenAudit and link to this client


    Highlight the relevant client and click OK

    When client is correctly linked between Accounts Production and MyWorkpapers, the Posting Entries screen displays as follows:

  2. Select OK

    Note:
    The IRIS OpenAudit export warning message screen displays if the period has not yet been created within MyWorkpapers:
  3. From the drop down menu select the required audit template
  4. Select OK

    The IRIS OpenAudit Export screen displays as follows:
  5. Select OK

    Note:
    Both the current and comparative years' trial balance is required to be entered within MyWorkpapers.

 

Step 4 - Making Adjustment Journals in Accounts Production

  1. From the Accounts Production toolbar click Posting | Select

    The Posting Entries screen will appear as follows:
  2. Highlight the relevant posting entry
  3. Click OK

    The following warning message will appear as a trial balance has already been exported to MyWorkpapers and if further posting are made, another export should be performed:
  4. Click Continue.

    The Posting screen will display.
  5. Make adjustment journals' as required.


Step 5 - Re-Exporting the Trial Balance into IRIS OpenAudit

Note: This process will need to be followed if further postings are added to the trial balance within Accounts Production.

  1. From the Accounts Production Quick Launch toolbar select the following icon:


    Alternatively, within the Posting screen, select Advanced | Export TB to IRIS OpenAudit


    The IRIS OpenAudit export screen displays as follows:
  2. Click OK

    The IRIS OpenAudit export screen displays as follows:
  3. Click OK

Step 6 - Making Journal Adjustments Within IRIS OpenAudit

  1. From MyWorkpapers, select the relevant client.
  2. Click Working Paper Index | Journal Entries | Journal Entries

    The JOURNAL ENTRIES screen displays as follows:
  3. Enter a Journal Description

    Note: The Journal Description entered here will appear as the Narrative description within the Accounts Production Postingscreen.
  4. Click Add

    The JOURNAL ENTRIES screen displays as follows:
  5. From the Type of Adjustment select Adjusted
  6. Enter an Account Code

    Note: The Account Code used should be to the same as the standard Accounts Production chart of accounts. These are provided as defaults.

    The Account Code field uses a 'smart' search therefore users can either begin to type the Account Description or the Account Code and select the appropriate Account code. This should make using the Accounts Production chart of accounts much easier.
  7. Complete the Debit/Credit field
  8. Repeat step no. 6-7 to enter the corresponding journal
  9. Repeat step no. 6-7 further adjustments are required

Step 7 - Importing Adjustments from MyWorkpapers to Accounts Production

  1. From the Accounts Production toolbar, click Client | Select

The Client Browser screen appears

  1. Highlight the relevant client
  2. Click Select
  3. From the Accounts Production toolbar, click Posting. Alternatively, from the Accounts Production toolbar click, Posting | Select |Highlight the relevant Posting Entry | OK.

    The IRIS OpenAudit screen displays as follows:
  4. Select one of the following options:
    1. Continue - to continue entering the Posting screen
    2. Cancel - to exit screens

      The IRIS OpenAudit Import screen displays as follows:
  5. Select one of the following options:
    1. Yes - to continue importing the journal entries
    2. No - to exit the prompt

      Note: If the IRIS OpenAudit Import prompt shown above does not appear, within the Posting screen select, Advanced | Import from IRIS OpenAudit.

      The IRIS OpenAudit Import screen appears as follows:


      Alternatively, select Batch Control | New | Enter the Document type | From the drop down beside Active import from selectIRIS OpenAudit | OK.
  6. Select one of the following options:

    1. Yes - to continue importing the journal entries

    2. No - to exit the prompt

      Note: If the incorrect post file has been selected the following prompt will appear

      The IRIS OpenAudit Import screen displays as follows:

  7. Select OK

    The Posting screen will display:


    Note: Postings imported from MyWorkpapers will have an 'i' beside the Posting Number.

    If the Hide audit trail box is unticked users may see cancelled postings if old adjustments have been overwritten. This avoids duplication of adjusted journals.

 

Step 8 - Exporting Journal Entries as a CSV from MyWorkpapers

  1. From MyWorkpapers, select the relevant client.
  2. Selecting Working Paper Index | Journal Entries | Journal Entries

    The following screen displays as follows:
  3. Select File | Export | Export Journal Entries as CSV
  4. Select one of the following options:
    1. IRIS Accounts Production
    2. Unadjusted Entries
    3. Adjusted Entries
    4. All Journals
