The archive and lock feature in MyWorkpapers allows you to set the file to lockdown after a predetermined number of days from the audit report signing date.
This ensures that after the legislated allowable period in which the engagement team is allowed to make administrative changes to the file, the file is set to a read-only mode, protecting it from accidental amendments and ensuring the integrity of the data of the file.
Once the file has been set to read-only, you are still able to print and save the file as a PDF, as well as gain general access to it.
File Completion
- Ensure the engagement partner has marked the file as complete;
- Ensure a copy of the signed report is uploaded to the file;
- From the top navigation bar, go to the File menu and select Completion and Archive;
- If you are in an SMSF File you can complete the following fields. This information populates into the SMSF Administrator view;
- The audit partner can sign-off the engagement file. The date of partner sign-off populates to the below Step 3 ‘Audit Report Date’;
Archive and Lock File
By completing the file sign-off, the archive and lock fields will automatically populate based on Australia or UK and Ireland 60 days (per the Auditing Standards) and the date of file sign-off. These fields will save and the file will lock after 60 days. No further steps are required to be completed.

Change the Date of File Archive
Step 1: Jurisdiction is Australia or UK and Ireland
- If the audit report was issued before the audit file completion sign-off date and the practitioner still wants to keep the Australia or UK and Ireland (60 Days) jurisdiction, simply change the Audit Report Date in Step 3;
- The Archive Date is calculated at 60 days from the new Audit Report Date;
- This setting automatically saves and the file will archive as per the Archive Date.
Step 1: Jurisdiction is Other
- If the practitioner wants to change the Lockdown Period in Step 2 simply change the Jurisdiction to Other in Step 1;
- Select the number of days for your Lockdown Period in Step 2;
- Select and confirm your Audit Report Date in Step 3;
- The Archive Date is calculated at 120 days from the Audit Report Date;
- This setting automatically saves and the file will archive as per the Archive Date.
Archive Now
- If the practitioner wants to archive the file now simply change the Jurisdiction to Other in Step 1;
- Enter ‘0’ as the number of days as for your Lock Down Period in Step 2;
- Select today’s date in the Audit Report Date in Step 3;
- Accept the warning message;
- Once archived the display box will change from orange to blue advising you that the file has now been archived.
Unarchiving your file
You are able to unarchive your file as long as you are within the time period originally set, for example, if you've chosen for the file to be locked within 20 days, you'll have 20 days to deselect the box titled Partner sign-off.
Note: Anything over the pre-decided time period will require you to contact support and ask for assistance to unarchive your file.
